As a Service Administrator, you will play a key role in supporting the Field Service department by managing essential business support processes. The position is based in Gdynia and supports our Business Unit in Finland, working closely with teams responsible for maintenance and repair of propulsion systems on vessels within the maritime industry. Your responsibilities will directly contribute to accurate invoicing and smooth coordination between service delivery and financial operations.
What will you do?
• Travel Claims and Expenses Management - You will be responsible for reviewing and verifying travel claims submitted by field staff, ensuring compliance with company travel policies, coordinating with Finance for timely reimbursements, and maintaining accurate records of travel-related expenses.
• Field Service Data and ERP Processing - You will be responsible for collecting and validating timesheets from field service teams, preparing service cost calculations based on labor, travel, and materials, and entering relevant cost and sales data into the ERP system. Accuracy and timeliness are essential to support financial reporting, project tracking, and monthly closings.
• Invoicing and Documentation Support - You will be responsible for issuing accurate and timely invoices to customers based on completed field service work. This includes handling customer queries related to invoicing and providing necessary documentation, such as service reports. General support to Finance may be required when issues arise.
• You will take an active part in the further, dynamic development of the company and contribute to continuous improvement by identifying areas requiring improvement of processes and systems.
You are the right person for this position if:
• You have experience in a similar position, especially in issuing invoices and settling business trips.
• You have graduated or are in the process of finishing university studies (a background in finance, economics, or a related field is a plus).
• You feel comfortable using MS Office tools, particularly MS Excel at an intermediate level.
• You speak English at a level that allows you to communicate freely (minimum B2).
• You are naturally curious and enjoy understanding how things work, especially when it comes to solving small operational puzzles.
• You take initiative and feel confident working independently, while knowing when to ask questions or seek support.
• You value clear communication and are open to adapting your style to different cultural expectations.
• You like having ownership of your tasks and take pride in delivering accurate and well-organized work.
