POSITION SUMMARY:

The role combines Sales Coordination with Office Coordination:

  • Sales coordinator supporting the sales team by managing administrative tasks, coordinating customer interactions, and ensuring smooth communication between departments.
  • Office Coordinator: ensures the smooth day-to-day operations of the office by managing administrative tasks, supporting staff, and maintaining an organized and efficient work environment.

ROLE AND RESPONSIBILITIES:

Sales Support:

  • Prepare and process sales quotes and orders, from customers / dealers / affiliates
  • Check accuracy of product configuration
  • Checks accurate screening and export control approval
  • Ensure all terms and conditions are accurate and acceptable before processing (Contract Review SALES 001)  
  • Apply appropriate commissions and discounts for Kongsberg sales affiliates and dealers
  • Communicate with customers regarding any order delays
  • Address customer complaints following the QA 005 process
  • Maintain accurate records in CRM systems.

Customer Communication:

  • Respond to client inquiries promptly and professionally.
  • Coordinate delivery schedules and follow up on orders.

Administrative Duties:

  • Organize and maintain sales documentation.
  • Support in preparing presentations and proposals.
  • (Weekly) Sales Meetings with sales group
  • Support sales team in attaining monthly as well as annual targets
  • Assist with new issues of Price Lists

Demo equipment Management:

  • Oversee demo room equipment storage and availability
  • Maintain current data in order to determine what equipment is available for demo
  • Organize equipment for testing and shipping
  • Return equipment to demo location after receipt and visual inspection
  • Coordinate repairs, upgrades and modifications
  • Monitor overdue demo tasks (Jiras)
  • Handle approvals and purchase requisitions for new demo gear
  • Support annual inventory count

Administrative & Office Support:

  • Manage incoming calls, emails, and correspondence.
  • Schedule meetings, appointments, and other events as required.
  • Maintain office supplies and equipment inventory.
  • Coordinate with vendors for services and repairs.

Documentation & Records:

  • Organize and maintain files, records, and databases.
  • Assist with preparing reports and presentations.

Team Assistance:

  • Support HR and finance with onboarding and expense tracking.
  • Help coordinate internal events and training sessions.
  • Participate in Health and Safety meetings and activities

Reception Duties:

  • Greet visitors and ensure a professional front-office experience.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office and CRM software. Knowledge of Infor Visual and/or AX highly preferred.
  • Attention to detail and problem-solving mindset.
  • Previous experience in sales support and office coordination is a plus.

Performance Indicators

  • Accuracy and timeliness of order processing.
  • Customer satisfaction and response time.
  • Efficiency in coordinating internal and external communication.

Pay Range: $45,000 - $50,000 CAD annually (DOE)

Work Location: Port Coquitlam, BC Canada (position required to be in office 5 days/week)
